Shared Fields in Moposa

Shared Fields allow you to create and manage data that is automatically synced between your couples and your Moposa site — ensuring consistency and saving time.

With Shared Fields, you can:

  • Create custom questions for couples. like décor preferences, rooming needs and even special request. Couples respond directly on their wedding site, in their own time.

  • Answers appear instantly on your site, in your couples profile. No more chasing replies or digging through endless email chains. Everything you need is gathered in one place, updated in real time.

  • With a click, Moposa turns those answers into contracts, menus, and rooming lists — saving hours of manual work.

This feature is designed to so your whole team sees updates in real time, freeing you to spend less time on admin and more time building relationships that win weddings

How to Set Up Shared Fields

Step 1 – Go to Tools

1. Log in to your Moposa Venue account.

2. Click on your Tools in the on the left hand side of your screen.

3. Select Shared Fields from the left-hand menu.

Step 2 – Create and Edit Shared Fields

1) There is a template of different questions you can either edit, remove or replace.

2) Start by adding instructions for your couples.

3) To add a new questions click + Add Shared Field.

4) Select which section you would like the question to appear in.

5) The question under Title

6) Name the insert code if your question is more than 3 words. Leave it blank and it will auto generate based on your Title.

7) Select your question type

a) Text line – If you need a short response.

b) Text Box – If you need a descriptive response.

c) Dropdown menu – is a form field that lets users choose one option from a predefined list

that appears when they click on a small arrow or menu.

d) Checkbox – used to allow your couples to choose multiple options.

Your shared fields will then be automatically visible in your couples profile.

Submitted Info

In addition to the fields you create, Moposa automatically gathers Submitted Info from each couple’s planning site and stores it within their Couple Profile.

This data can then be extracted by copy and pasting into your PMS system and through Insert Codes and used directly within your Coordination Hub tools, including:

  • Function Sheets

  • Menus

  • Rooming Lists

By combining Shared Fields and Submitted Info, you can merge both venue-entered data and couple-submitted data into one consistent workflow — ensuring everything stays linked, accurate, and up to date across all your planning documents.

�� Tip: If a couple updates information on their Moposa planning site, it will automatically reflect in their profile, allowing you to pull the latest details into your coordination documents without manual re-entry.

You can also select a custom cutoff date for shared fields so couple cannot make changes after a certain point. To do this, please follow these septs;

1. Click on Settings->General Settings

2. Scroll down to Other Settings

3. Select Lock shared fields & room details

4. Add in how days before the wedding

How to Use Shared Fields

Once created, Shared Fields can be inserted into your:

  • Contracts and Event Documents

  • Emails and Templates

  • Reports and Function Details

Best Practices

  • Keep field names clear and consistent (e.g., “Ballroom Capacity” instead of “Room Size”).

  • Use dropdown menus for frequently repeated fields (like room names or packages) to avoid typos.

Turning on/ Turning off Shared Fields

If you prefer that shared fields are not visible to your couples on their Wedding Website, you can disable this feature while still keeping the questions active on your site. To do this, navigate to Settings > General Settings, then scroll to the bottom of the page.
